Before you can create shows in ShowPro you must define the organization that is sanctioning the show. This organization may be the United States Equestrian Federation, a local organization, or simply your farm. ShowPro allows you to have as many organizations as you require but each show is run as a show of one organization. This organization will need to have divisions defined, think of this as a full organization. Just creating an organization and assigning a name and acronym to it is enough to be able to assign numbers to people and horses, think of this as a partial organization. So you'll have one full organization that is the main sanctioning organization for the show with possibly one or more other organizations, that could be full or partial. You will be able to record numbers for people and horses for any of these organizations and print results with those numbers on them. If your main sanctioning organization is the USEF, and you have the Professional version of ShowPro or above, you will be able to submit results electronically. If you're just doing schooling shows your main organization can be your farm. For example the name of your organization might be "My Farm Horse Shows" with an acronym of MFHS. You will setup your divisions under this organization one time and you'll be ready to start creating your first show. There is still nothing to prevent you from having one or more other partial or full organizations, perhaps for local organizations that you need to report results to. If you are doing United States Equestrian Federation shows, this organization is already built in to ShowPro™, but you must define it to fit your particular needs. This shows the United States Equestrian Federation organization, which is automatically added to all ShowPro configurations, the Ohio Professional Horsemen's Association. Some people, and horses, will have a USEF number and/or one or more other organization numbers. As many organizations as required can be setup in ShowPro™. In addition the ASPCA and USET are built in to ShowPro and you will have the ability to record these numbers as well. ShowPro can also assign membership and/or recording numbers automatically if you do not have them but would like to establish them. |
The Global ID is a number that uniquely identifies an organization. it is displayed for reference only but it does need to be set. If you click on the Global ID box you will be prompted to enter the two letter state abbreviation of the state that the organization is in. The Web Site, User Name, and Password are used to gain access to organization data over the internet for organizations that are using OrgPro our organization and points management product. These parameters will be supplied to you by the membership or points secretary of that organization if you do shows that are recognized by the organization. | |
To add a new organization, click the New button.

This will add a new organization and you may edit the name and acronym in the edit boxes at the bottom of the dialog. You can also enter the Web Site, User Name, and Password if you have that information. You should also click on the Global ID box and set the two letter state abbreviation of the state the organization is in. To delete an organization, highlight the organization in the list at the top and click the Delete button. Because USA Equestrian is a built in organization, you will not be permitted to delete it. |
Once you have successfully created your new organization you must define the organization by creating the show types, member types, sections, and possibly locations. To define your organization, click the Edit button on the Organizations dialog box. The Edit Organization Dialog will appear... |

Select Show Types from the Data Menu and the Show Types Dialog will appear:

These Show Types will later have your divisions attached to them. Some organizations sanction shows at different levels. The Show Type is provided to support this. More than one Show Type may be utilized in a show, for example you might have a "C and Pony Show". You must create a minimum of one Show Type and you may decide that one is all you need. |
When you have created your Show Types press Close.
Now select Divisions/Hunter from the Data Menu and the Hunter Division Dialog will appear.

Now we will add Sections to our Hunter Division for what ever Show Type(s) we have previously defined. Click New for each section you need and edit the name.
Here the name has been edited and a section code is being entered. USEF section codes are required for submission of USEF electronic results as of December 1, 2004. Note: A list of USEF section codes is at the end of this topic. If you're not configuring your USEF organization, you can leave the Code field blank.
When you are finished press Close and then continue with the Jumper, Equitation, and Medal Divisions. |
Note: The "Medal Division" is where you should define your medal type "sections". These are not legitimate sections - there will be no championship, but you will find it convenient to have these classes, that you will use for many shows, defined here. If you offer Show Championships for Equitation sections, note that ShowPro™ will not include classes defined in the Medal Division in any section standings. |
Now select Non-Member Types from the Data menu and the Non Member Types Dialog is displayed.

This is where you'll create non-member types. Non-member types are useful for identifying certain types of non-members. These types will be available to select from when the person does not have a membership number. Note: The Applied at show check box is available to denote that a person applied at the show. The word "Applied" will be printed in results in place of a number. |
Now Select Member Types from the Data Menu and the Member Types Dialog is displayed:

Now you will create the various member types that are required for your organization. The two character abbreviations are used to represent these member types on reports. The NM check box was used in previous versions to designate a non-member type. Non-member types are now created as described above. The NM check box is now depreciated which means it is maintained for backward compatibility and may disappear in a future version. The Send to Non Member Types button allows you to migrate an old style non-member type to a new style non-member type. |

Note: As of December 1, 2004 the USEF requires each result (place) that is submitted electronically to be tagged with either "Amateur Adult", or "JR/YR". The way that ShowPro fullfills this requirement is that if a persons Member Type contains the word "Amateur", then "Amateur Adult" will be output in the results. If a persons Member Type contains the word "Junior", then "JR/YR" will be output in the results. Otherwise the field will be blank in the output. Also, if the persons member type contains "Non", the field will be blank in the output. The case of the letters does not matter, "Amateur" is the same as "AMATEUR". |
If your selected organization is United States Equestrian Federation, you do not have to configure Locations and you are done configuring your organization. If you are not defining your United States Equestrian Federation organization, there will be a Locations item available on the Data Menu. If you select Locations from the Data Menu the Locations dialog is displayed: |

It may be that you only have one location, your farm for example - that's Ok just create the one location. If you are doing shows for an organization that uses OrgPro™, our organization management product, the results will be categorized under these locations on the organizations web site by OrgPro. You may add additional Location at any time. |
We have now completed the required steps to define an organization. You are now ready to create a show in ShowPro™. You have the option at this time of entering in people and horses for your organization. If you have information on people and horses that is well organized and accurate, it may be to your advantage to enter it ahead of time. You also have the option to let ShowPro build your database for you as you create entries for your shows.

Note: You will notice in the table below that the USEF provides section codes for "(COMBINED)" sections. We do not recommend you create a Green Working Hunter (Combined) section for example. The reason is that when you combine sections in ShowPro the original sections code will be output in the results on an individual place basis, this saves a considerable amount of work in processing the results. |
